How to Write Meeting Minutes That Get Used

The format matters less than three habits.

Capture decisions as they happen, in the decision's own words. Reconstructing afterwards is where accuracy is lost.

Name an owner for every action, in the meeting. An action without a name attached is not assigned, however clearly it was described.

Circulate within a day. Notes sent a week later are archaeology. Sent the same afternoon, they are a correction opportunity — people read them while the meeting is fresh and flag anything wrong.

A Realistic Example: A Client Call With Four Attendees

An account manager finishes a 45-minute call and has two pages of fragments. Three things were agreed, two are contingent on the client sending something, and one commitment was made by a colleague who has already moved on to another call.

She pastes the notes in with the attendees listed and picks the standard length. The output separates the client's approval of the revised scope as a decision, and lists four action items — two hers, one her colleague's, one the client's.
