How to read your CRM ROI

A CRM only earns its keep when it either closes more deals or frees your team from busywork — ideally both. This calculator estimates the two biggest levers: the extra revenue from a higher conversion rate, and the labor cost you save when reps spend less time on manual admin. Subtract the CRM's monthly cost and you get your net ROI.

What the numbers mean

  • Extra revenue — additional deals (from a better conversion rate) multiplied by your average deal value.
  • Cost savings — hours saved per rep, scaled across your team and month, valued at each rep's hourly cost.
  • Net ROI — total monthly gain minus the CRM's monthly cost. Positive means it pays for itself.
  • ROI % — net ROI as a percentage of the CRM's monthly cost; a quick efficiency ratio.
  • Payback — how quickly the gain recovers the cost. "Immediate" means month-one gains already exceed the cost.

Tips for a realistic estimate

  1. Be conservative with your "after" conversion rate — a 2-4 point lift is common; double-digit jumps are rare.
  2. Use a fully loaded hourly cost (salary plus overhead) for a truer cost-savings figure.
  3. Remember adoption matters: a CRM nobody uses returns nothing, so factor in training and onboarding.
