What does a repetitive task really cost?

Small manual tasks feel cheap in the moment — a few minutes here, a quick copy-paste there. But repeated every day across a team, those minutes compound into hundreds of hours and thousands of dollars a year. This estimator turns the time, frequency, hourly rate, and headcount behind a task into a clear weekly, monthly, and yearly cost, plus the hours your team loses to it.

How the math works

  • Normalised frequency — we convert however you measure the task (per day, week, or month) into a consistent weekly count, assuming 5 work days per week.
  • Time and cost — minutes per week = time per task × weekly frequency × employees. We convert that to hours and multiply by the hourly rate to get weekly cost, then scale to monthly (×4.33) and yearly (×52).
  • Potential savings — automation rarely removes 100% of a task, so we use a conservative estimate that automation eliminates about 80% of the time. The savings figure is an estimate, not a guarantee.

Tips for an accurate estimate

  1. Include the full time per task — context switching and double-checking count too.
  2. Use a loaded hourly rate (salary plus overhead) for a truer cost.
